Comparing Otter alternatives for AI meeting transcription

Otter Alternatives 2026: Best Picks by Why You’re Leaving

Almost every roundup of Otter alternatives published this year opens with the class action and then recommends Fireflies or Fathom. Those two are good products. Neither of them addresses the thing the lawsuit is about.

The complaint concerns a bot joining calls and recording people who never agreed to it. Fireflies joins calls as a bot. Fathom joins calls as a bot. If consent exposure is why you’re leaving, swapping one bot for another changes your vendor and leaves your risk exactly where it was.

That’s the failure running through most pages of Otter alternatives: they treat “reasons to leave” as one bucket. They aren’t. Some of them a different subscription fixes in an afternoon. One of them almost nothing on these lists fixes at all.

So this page sorts Otter alternatives by why you’re going, and says plainly which reasons have a good answer and which don’t. Prices carry the date we checked them.

Consent and recording obligations when choosing meeting transcription software

Otter alternatives: the short version

  • Leaving over minute caps? Fireflies removes them on every paid tier, and its free plan transcribes without a monthly ceiling.
  • Leaving over the price jump to Business? Fathom Team at $15 a seat annually, or Fireflies Pro at $10.
  • Leaving over languages? Fireflies advertises 100+. Happy Scribe claims 140+ and pays us nothing.
  • Leaving over consent exposure? Most Otter alternatives use the same bot architecture. Only bot-free or local recording changes anything.
  • Leaving over transcript accuracy? A dedicated transcription tool beats any meeting assistant, and they’re different purchases.

What the lawsuit alleges, and what Otter alternatives do about it

Being precise matters here, because the case is unresolved and the summaries circulating are loose.

Brewer v. Otter.ai was filed in August 2025 in the US District Court for the Northern District of California, and consolidated in December 2025 with seven causes of action. The complaint alleges that Otter’s bot records conversations involving people who are not Otter users without all-party consent, and that the resulting audio is used to train its models. It invokes the federal Electronic Communications Privacy Act, the Computer Fraud and Abuse Act, and California’s all-party-consent statute. Otter has denied the allegations and moved to dismiss. As of mid-2026 the matter remains pending, and nothing here is a finding of wrongdoing.

Now the part the lists skip. The architecture at issue is a bot that joins a call and records everyone in it. That describes Fireflies. It describes Fathom. It describes most of the Otter alternatives you’ll be shown next.

If consent is your reason, read this twice

Switching between Otter alternatives does not change your consent obligations, and in most all-party-consent jurisdictions those obligations sit with you rather than with the software. The only structural change is recording without a visible bot joining, or processing locally. Everything else is a different logo on the same risk.

Our level of use across these Otter alternatives: researched. Fireflies pricing was read off the vendor’s page directly. Other figures come from published plans reported consistently by independent sources, and the litigation details from the public docket record as described in contemporaneous coverage.

1. Fireflies, if minutes or languages are the problem

The most direct swap among Otter alternatives, because it removes the two ceilings people hit most.

Transcription is unlimited on every Fireflies tier including free, against Otter’s 300 monthly minutes with a 30-minute cap per conversation. Fireflies advertises more than a hundred languages on every plan; Otter’s coverage is a handful. Pro is $10 a seat annually against Otter Pro’s $8.33, so you pay slightly more per seat and stop counting minutes.

What Fireflies takes back with the other hand, and what makes it less obviously the winner among Otter alternatives: its free tier stores only 400 minutes across the whole team, and its advanced AI features draw on a credit allowance of 20 to 50 depending on tier. We worked through that arithmetic in the three-way per-seat comparison.

See Fireflies plans

2. Fathom, if the Business price was the trigger

Price is the second commonest trigger for shopping Otter alternatives. The step from Pro at $8.33 to Business at $19.99 a seat annually is steep for features many teams never open. Fathom Team lands at $15 with shared search, comments and admin controls, and no minute metering anywhere.

Its free plan is the most generous in the category: unlimited recording, transcription and storage, with advanced AI summaries capped at five calls a month. For a consultant taking a handful of calls a week that cap may never bite. Paid plans carry a 90-day money-back guarantee, which is long enough to find out properly.

Two catches. Team requires two seats, so a solo user pays $16 for Premium instead. And Fathom’s CRM tier at $25 a seat is the most expensive of the three main options, so if Salesforce sync is part of the job the saving disappears. See Fathom.

3. Descript, if the transcripts were the problem

Speaker misattribution and the editing tax that follows is a persistent complaint, and it’s the reason where most Otter alternatives don’t help because they’re built for the same job to the same standard.

Descript is a different purchase. It edits audio and video by editing the transcript, which means correcting a speaker label or cleaning a passage happens in the tool rather than after it. From $16 a seat on annual billing. It won’t join your Zoom calls automatically the way a meeting assistant does, so this is a swap for people whose recordings become something else afterward. See Descript.

4. Notta, the closest match in shape

Notta occupies close to the same position as Otter: transcription-first, meeting capture, broader language coverage. It appears on most lists of Otter alternatives and rarely gets explained, so here’s the useful version. Choose it when you want Otter’s workflow without Otter’s language ceiling, and when the AI depth of Fireflies would go unused.

We haven’t verified Notta’s current pricing for this update and won’t quote a number we didn’t open. See Notta.

5. Happy Scribe, the one Otter alternative that pays us nothing

Worth naming because its language coverage claim is the largest here at 140+, and because it offers capture that doesn’t require a bot in the call, which is the only structural answer to the consent question.

One caveat we’d rather state than hide: Happy Scribe publishes its own roundup of Otter alternatives in which it ranks itself highly. That’s normal and it doesn’t make the language figure wrong, but treat any vendor’s self-assessment accordingly and test before committing.

The language number nobody can agree on

A small thing that says something larger about how Otter alternatives get written. Ask how many languages Otter transcribes and you get three answers. Sources reading its pricing page report English, French and Spanish. One roundup says four. Another lists six, adding German, Japanese and Chinese.

We’re not going to resolve that by picking whichever supports the argument. The likeliest explanation is that Otter’s pricing page and its help documentation list different sets, and writers cite whichever they opened. The practical instruction is the same either way: if your calls happen in a language, check that specific language on the vendor’s own support pages before you buy, because a general count on a comparison table is worth nothing to you.

The test that settles it

Record ten minutes of a real call in your working language on a free tier before paying anyone. Every tool here has one. Accuracy claims and language counts are marketing numbers; your accent, your jargon and your call quality are not.

Reasons to leave that have a good answer

  • Minute caps, solved outright by Fireflies
  • The Pro-to-Business price step, undercut by Fathom Team
  • Language coverage, where the gap is enormous
  • Transcript cleanup, if you accept it’s a different tool

Reasons where switching won’t help much

  • Consent exposure, since most alternatives are also bots
  • Your own obligation to tell participants they’re recorded
  • Accuracy on poor audio, which no vendor fixes
  • Meetings nobody reads notes from afterward

Picking between Otter alternatives by situation

Six situations, and which of the Otter alternatives resolves each.

Daily meetings, hitting 300 minutes

Fireflies free. Unlimited transcription with a 400-minute storage pool, which is the constraint to watch instead.

Two-person consultancy

Fathom Team at $15 a seat. Cheaper than Otter Business, no meters, and 90 days to change your mind.

Calls in German or Portuguese

Fireflies or Happy Scribe. Otter’s coverage ends the conversation before price enters it.

Client calls where a bot looks bad

Bot-free capture, which narrows the field sharply and is worth its own shortlist.

Recordings that become content

Descript. The transcript is the editing surface rather than a document you clean up afterward.

Regulated or confidential work

Neither a cheaper bot nor a bigger language list. Start with your consent process, then pick software to match it.

The switch that costs nothing

Before subscribing to any of these Otter alternatives, run Fathom’s free plan for a month. Unlimited recording, five advanced summaries, no card. If that covers you, the correct answer is to stop shopping, and we earn nothing when you do.

Questions about Otter alternatives

Do Otter alternatives solve the privacy concern?

Not by themselves. The class action concerns a bot recording participants who never consented, and most Otter alternatives use the same architecture: a visible bot that joins and records everyone. Changing vendor changes who holds the data, not whether a recording happened without all-party agreement. The structural fix is bot-free or local capture, plus your own consent process at the start of calls.

Which of the Otter alternatives has the best free plan?

Fathom, comfortably. Unlimited recording, transcription and storage across Zoom, Meet and Teams, with advanced AI summaries capped at the first five calls each month. Fireflies free is stronger on transcription volume, since it has no minute ceiling, but stores only 400 minutes across the entire team. Otter’s free tier caps at 300 minutes with a 30-minute limit per conversation.

Is Fireflies cheaper than Otter?

Slightly more per seat at the entry tier and cheaper where it counts. Fireflies Pro is $10 a seat annually against Otter Pro’s $8.33, but Fireflies has no minute cap. At the team tier Fireflies Business is $19 against Otter Business at $19.99, and Fireflies includes CRM sync and 100+ languages at that price.

How many languages does Otter actually support?

Sources give three, four and six, which is unusual for a checkable fact. The likeliest explanation is that Otter’s pricing page and help documentation list different sets. Whichever is right, the range is far below the 100+ Fireflies advertises. Check your specific language on the vendor’s support pages rather than trusting any comparison table, including this one.

Will I lose my existing transcripts if I switch?

Export before you cancel, whichever tool you move to. Otter’s bulk export sits on paid tiers, so downgrading first can strip the ability to take your archive with you. This trips people up across the category: the export feature usually lives on the plan you’re trying to leave. Pull everything down while the subscription is still active, then cancel.

Should I switch at all?

Often not, and we earn nothing from saying so. If you’re inside 300 minutes a month, working in English and untroubled by the bot, no list of Otter alternatives helps you and Otter free does the job and switching costs you a migration for no gain. Leave when a specific ceiling is blocking specific work. Leaving because a headline unsettled you tends to produce a lateral move.

What to take away

  1. Sort your reason before your shortlist. Most lists of Otter alternatives answer four separate questions with one ranking.
  2. The lawsuit is about bots recording non-consenting people. Swapping to another bot moves the logo, not the exposure.
  3. Two reasons have clean answers. Among Otter alternatives, Fireflies removes both the minute caps and the language limits.
  4. The Business price step is beatable. Fathom Team at $15 undercuts Otter Business with more headroom.
  5. Export before you downgrade. The tools you need to leave usually live on the plan you’re leaving.

About this page

We hold affiliate relationships with Fireflies, Fathom, Descript and Notta, and with Otter itself. Earning a commission whether you stay or leave is what lets this page open by telling you that switching probably doesn’t fix the thing you read a headline about.

Happy Scribe pays us nothing and sits among these Otter alternatives on its language coverage, with the caveat that it publishes a competing roundup ranking itself. The recommendation with no commission attached: if you’re inside 300 minutes a month and working in English, stay where you are. Fireflies pricing read from fireflies.ai/pricing on September 4, 2026. Otter and Fathom plans reflect published pricing reported consistently by independent sources between May and July 2026. Litigation details describe a pending case in which the allegations are unproven and denied. Comparative review sentiment cross-checked against G2’s competitor listings. Prices move, so check before committing.
